Abstract

This case study focuses on the maintenance of the physical archive at the Directorate of Human Talent Administration of the Universidad Laica Eloy Alfaro de Manabí, based on the Ecuadorian National Archival Technical Standard. In a context where proper document management is key to ensuring institutional transparency, this study becomes relevant by highlighting weaknesses that could affect the long-term preservation and availability of information. The case reveals a functional document organization; however, shortcomings remain in terms of environmental control, technical infrastructure, specialized furniture, and the visible application of archival regulations. These deficiencies compromise the integrity of documents and hinder compliance with legal and technical standards. Methodologically, the research followed a qualitative approach, with a non-experimental design and descriptive scope. Data collection techniques included direct observation and semi-structured interviews with the personnel responsible for the archive, allowing for an internal perspective on the actual situation. The study was structured around six dimensions: document organization, physical infrastructure, information security, preventive conservation, application of regulations, and document management—each aligned with the Ecuadorian National Archival Technical Standard. Among the main findings are good practices in cleaning, accessibility, and document classification. However, gaps requiring immediate attention were also identified. Despite general awareness of the regulations, their implementation is still not systematic or standardized. In conclusion, an archival maintenance plan is proposed, based on the national technical standard, aimed at optimizing processes, incorporating technical resources, strengthening staff capabilities, and ensuring the effective preservation of the institution’s documentary heritage.
